Privacy Policy

This Privacy Policy describes how ChatMaid Inc, LLC (“we,” “us,” or “our”) collects, uses, shares, and protects your personal information when you access or use the Chatmaid Developers API, dashboard, MCP server, SDKs, and any related services (collectively, the “Service”).
By using the Service, you agree to the practices described in this Privacy Policy.
1. Information We Collect
We may collect the following types of information when you use the Service:
a. Account information. When you sign up, we collect basic account details such as your name (or company name), email address, hashed password, and billing information processed through our payment provider.
b. API keys and credentials. We generate API keys (sandbox and production) on your behalf and store hashed fingerprints of those keys to authenticate your requests. We never display production secrets after creation.
c. Connected phone numbers. When you connect a WhatsApp number via QR code, we store the session credentials required to relay messages. We do not store your phone number password and we cannot read messages on your phone outside of what is sent through the API.
d. Message metadata and webhook events. We store the metadata of messages you send or receive through the Service (sender, recipient, status, timestamps, and message content) so we can deliver webhook events, retry failures, and power dashboard analytics. Message content is retained for the period described in section 5.
e. Usage and device data. We collect data about how you interact with the dashboard and API, including login times, request volumes, IP address, user agent, and actions taken.
f. Communication records. We may store emails and support tickets exchanged with our team.
2. How We Use Your Information
We use the collected information to:
- Provide, maintain, and improve the Service.
- Deliver your API requests by relaying them to WhatsApp through connected numbers.
- Process billing, manage your subscription, and prevent fraud.
- Offer customer support.
- Detect abuse, rate-limit excessive traffic, and protect the stability of the platform for all customers.
- Communicate important updates, changes to terms, or operational notices. You can opt out of marketing emails at any time.
3. Sharing of Information
We do not sell or rent your personal information to third parties.
We may share information only in the following circumstances:
- Service providers. Trusted third parties who perform services on our behalf — cloud hosting, payment processing, email delivery, error tracking — under confidentiality agreements.
- Legal requirements. If required to comply with a legal obligation or valid legal process, or to protect the rights, property, or safety of ChatMaid Inc, LLC, our users, or others.
- Business transfers. If ChatMaid Inc, LLC is involved in a merger, acquisition, or sale of assets, user information may be transferred as part of that transaction.
4. Data Storage and Security
Your data is stored on secure servers hosted by reputable third-party providers. We encrypt data in transit (TLS) and at rest where supported, hash API keys, and limit internal access on a need-to-know basis.
Despite our efforts, no system can be completely secure. If you suspect that an API key has been exposed, rotate it immediately from the dashboard.
5. Data Retention
We retain your account information and message metadata for as long as your account is active. Webhook delivery logs and message content are retained for 30 days by default. Sandbox data is retained for 30 days after last activity. After account cancellation, your data remains accessible for export for 30 days, then is deleted within 90 days unless retention is required by law.
6. Your Rights and Choices
Depending on your jurisdiction, you may have the right to:
- Access, correct, or delete your personal information.
- Withdraw consent to data processing.
- Object to or restrict certain uses of your data.
- Receive your data in a portable format.

7. Children’s Privacy
The Service is not intended for use by individuals under the age of 18. We do not knowingly collect personal data from children. If we become aware that a child has provided us with personal information, we will take steps to delete it.
8. Third-Party Links and Services
The Service relies on WhatsApp’s consumer protocol to relay your messages. ChatMaid Inc, LLC is not affiliated with or endorsed by WhatsApp or Meta Platforms, Inc. Your use of WhatsApp through the Service is also subject to WhatsApp’s own terms and privacy policy.
The dashboard may contain links to external sites. We are not responsible for the privacy practices of those sites.
9. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Effective date” at the top. Continued use of the Service after changes constitutes your acceptance of the revised policy.
